Privacy notice

This notice covers elgibor.com.na only. Information you give us once you become a client is held in your engagement file and governed by our professional duty of confidentiality, which is a separate matter from anything described here.

Who is responsible

When you send us an enquiry

The contact form asks for your name, email address, the service you are interested in, and your message. A phone number is optional. Alongside those, the site records three technical details automatically:

• your IP address
• your browser's identification string
• the page you were on when you submitted the form

Those three are kept for one reason: when a fake submission arrives, they are what distinguishes it from a real one. They are not used to build a profile of you and they are not looked at otherwise.

What happens to it: the enquiry is saved on this server, emailed to info@elgibor.com.na, and a confirmation is sent back to your own address so you have a record of what you sent and a reference to quote. We use it to answer you. We do not add you to a mailing list, and we do not sell, rent or share it for anyone else's marketing.

When you simply read the site

We count visits ourselves rather than handing that to an advertising company, so nothing about your reading is shared with a third party for analytics. For each page opened we record the page address, the website you arrived from if there was one, and a one-way code that lets us tell two visits apart on the same day.

Your IP address is never stored by the counter. It is mixed into that one-way code together with the date and a secret held on the server, and only the result is written down. Because the date is part of it, the code changes every midnight, so yesterday's records cannot be linked to today's or traced back to you: not by us, and not by anyone who obtained the files.

We also record only the website you came from, never the full address of the page. A full address can carry the words you searched for, or the name of a private page, and we have no reason to hold either.

Cookies

This site sets no cookies for ordinary visitors, and the visit counting described above uses none. There are two exceptions:

• If you pick a language from the switcher in the top bar, Google's translation tool stores your choice in a cookie so the site stays in that language as you move around. Choosing English again removes it.
• Our own staff receive a sign-in cookie when they log in to the administration area. Visitors never receive it.

Other companies involved

A handful of services are needed to put this site in front of you. Each one necessarily sees your IP address, because that is how anything is delivered over the internet.

Machine translation is a convenience, not an accurate rendering of tax or legal wording. Where a position matters, rely on the English text or ask us.

How long we keep it

Holding personal information longer than it is useful is a risk without a benefit, so each kind has a fixed life and is then deleted automatically.

Two honest qualifications. First, if your enquiry becomes work we do for you, the information moves into your engagement file, and that is kept for as long as our professional and tax record-keeping obligations require, longer than the period above. Second, the copy that arrived in our mailbox is a separate copy, and email is not covered by the automatic deletion described here.

Your choices

You can ask us at any time to:

• tell you what we hold about you and give you a copy
• correct anything that is wrong
• delete your enquiry before its retention period is up
• stop using your details for anything except answering you

Email info@elgibor.com.na and we will respond within five business days. There is no charge. If you quote the reference number from your confirmation email it is quicker, but we can find it from your email address alone.

One limit worth stating plainly: we cannot delete visit-count records for you individually, because nothing in them identifies you. The one-way code described above cannot be reversed, so there is nothing there to find.

Keeping it secure

Enquiry files sit outside the part of the server that browsers can reach and are refused if requested directly. Our administration area needs a password, locks after repeated wrong attempts, and stores no password itself, only an irreversible hash of one. Email to and from us travels over an authenticated, encrypted connection.

No arrangement is beyond failure. If something happened that put your information at real risk, we would tell the people affected rather than wait to be asked.

Changes to this notice

When it changes, the date at the top changes with it. If a change is significant (a new recipient of your data, or a longer retention period) we will say so here rather than quietly revise the wording.
